To create a new part with properties similar to an existing part in your system, cloning a part might be the best method. This makes a copy of the existing part, which you can alter as necessary for the new part. Cloning a Corporate part creates a new Corporate part; cloning a site part creates a new site part.
While cloning a part, you can alter the following properties of the copy as necessary for the new part:
● Product Name: The product name of the new part.
● Description: Any additional description of the new part.
● Manufacturer: The company who manufactures this product. Enter the company name manually or select one from the manufacturer index by clicking the browse (...) button.
● Primary Unit of Measure: The unit by which this part's quantities are most often measured.
● Inactive: Select to begin the new part as an inactive part. Clear to begin the new part as an active part.
When the new part is created, the following data are automatically copied from the existing "parent" part to the new part:
● Details: The part's basic identification, settings, and product category assignments.
● User-Defined Data: Additional data entered for the part in user-defined fields.
● Related SDSs: SDSs related to the part.
● Hazards: The part's hazard ratings and classifications.
● Site Assignments: The sites where the part is assigned/used.
● Location Assignments/Exclusions: The locations where the part is used/stored (assignments) or prohibited (exclusions).
● Audit Information: Records of when the product was requested, approved, reviewed, or discontinued.
● Components and Chemical/Physical Properties: How the part's physical makeup is defined. This can include one or more other products, specific chemical ingredients, and physical properties: specific gravity, flash point, density, vapor density, VOC, physical state, and shelf life.
● Attachments: Supplementary documents or files attached to the part.
● Transaction Types: The transaction types used most often (or exclusively) for the part's transaction activity. (Requires the Chemical Inventory module.)
● Conversion Factors: Part-specific conversion factors used for converting quantities of this part between different units of measure. (Requires the Chemical Inventory module.)
● Units of Measure: The units by which this part's quantities are typically (or exclusively) measured. (Requires the Chemical Inventory module.)
● Inventory Limits: The limits (such as maximum quantities, minimum quantities, and maximum usage amounts) defined for the part by threshold lists. Note that inventory limits are not defined directly for the parent part, nor inherited by the new part like the data types above; but if a threshold list applies inventory limits to a part due to the part's properties, and these properties are inherited by a cloned part, the threshold list will apply to this new part as well. To clone a part:
Starting at the Part Search Center (How do I get there?), do the following:
1. Click New Part at the right side of the display.
The Create New Part page opens.
2. Click Clone an Existing Part in the upper right.
Your site's part index opens.
3. In the part index, find the part you want to clone by doing either of the following:
● To browse the index alphabetically: Click a letter in the index’s alphabet bar to see all parts whose product names or descriptions begin with that letter.
● To search the index for a part number, product name, or description: Enter a search criterion in the Search For field (selecting Search Corporate and/or Include Inactive Parts—if these options are available—to include Corporate and/or inactive parts in your search), and click Search.
4. When you find the desired parent part, click its part number to select it. (To view a part before selecting it, click its view () icon.)
The part index closes. The Create New Part page now shows the following:
● In parentheses below Part Number, the part number mask of Corporate (if the parent part is a Corporate part) or of your local site (if the parent part is a site part), if available; this indicates the format of the part number that will be issued to this new part upon creation. (For details on part number masks, see Site Settings.) If no part number mask is available, you must enter the new part's number.
● In the corresponding fields, the parent part’s Product Name, Description, Manufacturer, and Primary Unit of Measure in the corresponding fields.
● At the bottom of the page, the parent part number with a view () icon, which you can click to view this part in a new tab.
5. Enter/edit any of the displayed properties for the new part. See above for details on each property.
6. Click Save.
The new part is saved and issued a part number. (By default, this is the alphanumerically highest existing part number that matches the appropriate part number mask, incremented by one.)
