Note: This feature requires the Material Request & Approval module licensed at your site.
When an existing request has properties similar to a new request you want to create, cloning the existing request may be more efficient than creating the new request from scratch. When you clone a request, the new request adopts the following properties of the existing "parent" request:
● Product Information: Product Name; Manufacturer. (These can be changed for the new request.)
● Request Information: Request Type; Priority; Date Required. (These can be changed for the new request.)
● Requester Information: Name; Email Address; Phone; Extension; Title; Department. (These can be changed for the new request.)
● Requester Tasks: This list of tasks is adopted by the new request (as unstarted tasks; the "parent" request's entries for these tasks are not adopted by the new request), even if you select a different request type for the new request. Therefore:
● If the "parent" request has requester tasks, the new request has these same tasks, and you must complete them to submit the new request. For details, see Performing Requester Tasks.
● If the "parent" request has no requester tasks, the new request also has no requester tasks, and the new request can be submitted immediately.
Note: This procedure shows how to clone a request from the Material Request & Approval interface. When a request appears on an SDS's Requests and Approvals page, both Corporate and local site users can clone the request using that interface as well, with the same results described here. Corporate users can also clone a new request that inherits the requester tasks and approver tasks of the "parent" request. For details, see SDS Requests and Approvals.
To clone a material request:
Starting at the Material Request & Approval page (How do I get there?), do the following:
1. Do either of the following:
● Using the MRAP search feature (see Searching Requests and Tasks for details on this), perform a search that shows the request you want to clone in the search results. In the Clone column, click this request's Clone link.
● View the request you want to clone (by opening it from MRAP search results, from a link in an MRAP email, or from an SDS's Requests and Approvals page). Open the request's Tasks display (by clicking Tasks in the upper right), and click the Clone Request button in the lower right.
The Clone Request page opens. By default, the Product Information, Request Information, and Requester Information fields are filled in with the selected request’s information.
2. Read any instructions appearing at the top of the display.
3. Make all changes necessary for the new request.
Note: If your user group has New Request – Change Contact access point, you can manually enter new Requester Information. If this information does not match an existing contact in your system, you get Contact Save Options: Choose Save as New Contact to save the entered information as a new contact; choose Update Chosen Contact if you chose a contact using the Select a Contact button, manually entered changes to it, and wish to save those changes to the chosen contact; choose Do Not Save Contact if you do not wish to save the entered information to a contact.
4. Click the Clone button.
The new request is created and you may—depending on your site’s MRAP configuration—receive an automatic e-mail confirming its creation. The new request adopts a New Request status (indicating the request is created but not yet submitted) and shows its Requester Tasks display. A message near the top of this display indicates the "parent" request from which this request was cloned.
5. Do one of the following, depending on what you see:
● Message indicating the new request is submitted: No further action is required from you.
Appropriate site approvers are automatically informed by email of the newly submitted request.
● Requester Tasks display, showing one or more requester tasks: These requester tasks were cloned from the "parent" request. Perform these tasks to submit the new request. For details, see Performing Requester Tasks.
When you complete the requester tasks and submit the request, you receive an automatic email confirming the successful submission. Appropriate site approvers are automatically informed by email of the newly submitted request.
● Requester Tasks display, showing no requester tasks: Click Submit for Approval in the lower right to submit the request.
